How to Check Your Canadian Passport Application Status: Online & Phone Tracking

If you have recently submitted an application for a new Canadian passport or a renewal, waiting for its arrival can be an anxious process. Fortunately, Immigration, Refugees and Citizenship Canada (IRCC) and Service Canada provide multiple direct tracking channels.

Whether you applied in person, by mail, or through the new digital portal, this guide details exactly how to track your passport application status, how long you should wait before checking, and what to do if your travel date is approaching rapidly.

When Can You Check Your Status?

To avoid overloading the system, the Government of Canada sets mandatory waiting windows depending on how and where you submitted your passport application:

  • Applied In Person (Within Canada): Wait at least 5 business days before checking. Applications checked within 4 business days or less may not be fully registered in the centralized tracking architecture.
  • Applied By Mail (Canada or the United States): Wait at least 10 business days before checking. If you check within 9 business days or less, your tracking profile will likely remain uninitialized.
  • Applied Outside Canada or the US (At an Embassy or Consulate): Wait at least 20 business days before initiating a formal tracking status inquiry.

Method 1: The Online Passport Application Status Checker

The most efficient way to monitor your document is through the official digital self-serve verification tool.

What You Need to Complete the Online Form:

  1. File Number: This is a unique alphanumeric identifier. If you applied in person, your file number is printed directly on the receipt you received. If you applied by mail or lost your receipt, you must request your file number using the official IRCC web form.
  2. Given Name and Last Name: Must exactly match the identity details listed on your application form.
  3. Date of Birth: Entered in the required system format.
  4. Additional Security Verification: Standard validation data to comply with federal privacy frameworks.

Note: The tracking architecture syncs updates every 24 hours. If the system does not retrieve your records instantly, clear your browser cache and attempt verification the following day.

Method 2: Real-Time Tracking via the IRCC Portal (Online Renewals)

If you qualified for and submitted a simplified adult passport renewal using the newly deployed IRCC Portal, you do not need to use the standard status checker tool.

The IRCC Portal features a native, real-time dashboard. Simply log into your established portal profile to view your application milestone progression, notice alerts, and printing queues natively without needing a separate file number lookup.

Method 3: Checking Your Status by Phone

If you are unable to access the online tracking portals, or if your application has surpassed normal processing windows, you can communicate directly with an agent through the Passport Program Call Centre.

What to Do If You Have Urgent Travel Plans

If your travel date is approaching and your application status indicates it is still processing, do not finalize non-refundable travel bookings.

  • Within 10 Business Days: If you require emergency documentation in less than 10 business days, you must visit a specialized Service Canada Centre (Passport Services office) in person to request Urgent or Express pickup services. Additional proof of travel (such as airline tickets or travel itineraries) and expedited service fees will apply.
  • Outside Canada or the US: If you are abroad and face an urgent passport issue, do not use the domestic tracking framework. Contact the nearest Government of Canada embassy, high commission, or consular office directly to secure emergency travel documentation.
